Key Features

Document Metadata & File Upload

Effortlessly manage documents with a simple 2-step process: upload data (CSV/Excel) and physical files. Use pre-defined templates, create or update documents, drag & drop uploads, and ensure accuracy with built-in validation checks.

Document Number Generation & Validation

The Document Numbering Specification streamlines document management by enabling precise, pre-validated number generation and validation. Supporting multiple specifications, it accommodates mandatory and optional groups, ensures unique sequences, allows single or batch allocations, and provides downloadable, color-coded validation reports.

Document Searching

Our table display offers an intuitive interface with features like filtering, sorting, and customisable metadata fields. View or export document registers, save searches, and access documents directly. Flexible scrolling and results options enhance usability.

Document Viewing

The system offers robust document management features, including viewing latest and older revisions, editing metadata, adding and exporting comments, tracking change history, previewing documents, accessing linked transmittals, and full-screen mode.

Distribution Matrix Management

The system offers a configurable distribution and approval matrix, enabling users to add or update matrices via in-built actions. Users can create custom distribution types (e.g., Approval, Review, Information) and link them to document numbering specifications, document types, or metadata fields. Features include always notifying recipients and using override emails for centralised mailbox notifications.

Transmittal Generation & Actions

Start new workflows with document selection (single or batch), with the option to automatically initiate upon upload. Transmittal numbers are generated, and email notifications are sent based on the distribution matrix. Users can view and track transmittal status and actions, while “My Actions” highlights documents requiring distribution.

Customisable Metadata Fields

The system features a number counter displaying metadata with the document quantity, allows users to add new metadata fields, define data types (e.g., text or date), and create custom privileged views for non-admin users.
